Program Coordinator, Full Time, Rochester, NY

JOB SUMMARY

The Program Coordinator will report to the Clinical Director and provide direct oversight of all Recovery Options Made Easy’s Clinical services by planning, directing, and coordinating the daily functions and future development of peer-operated programs that support individuals experiencing mental health crises and/or emotional distress to stay out of hospital emergency rooms (for behavioral health reasons) and/or psychiatric inpatient programs. Also provides planning and supervision for INSET, CORE & CFTSS services.

ESSENTIAL FUNCTIONS:

  1. Fulfills County Department of Mental Health OMH and contractual obligations.
  2. Attend meetings as required including but not limited to government initiative meetings and potential collaboration meetings. Works with Clinical Director regarding agency growth and development.
  3. Oversee satellite programs; supervise and implant start up areas based on contract requirements.
  4. Onsite supervision and/or consulting as required
  5. Maintaining a positive and respectful attitude with staff, consumers and providers.
  6. Determine staffing requirements, and assist interview, hire and train new employees, or oversee those personnel processes. Review turnovers to maintain company Standards and assist with performance appraisals.
  7. Manage staff, preparing work schedules, and assigning specific duties.
  8. Disciplinary functions as needed with staff to ensure company policies and procedures are consistently met.
  9. Handles employee relations such as complaints and provide reports to Clinical Director.
  10. Timely review and completion of quality documentation necessary for documenting; consumer contracts, Statistical reports, incident reports; UR/QA requirements and detailed reports of the Clinical Director and the Board as requested.
  11. Assist in training and development of staff in job duties and responsibility,  train on company policy and procedures, intakes and Agency paperwork.
  12. The Program Coordinator will maintain an ongoing safety and risk management program for staff.
  13. Ensures all HIPAA, Federal and State confidentiality regulations are adhered to.
  14. Identifies office and job resources needs, which include staff supplies and equipment and follows proper agency procedures in obtaining the equipment
  15. Some travel required to fulfill job responsibilities in various counties throughout Western New York.
  16. Other job duties as assigned.

Specific to INSET Program:

  • provide general support and assistance to the INSET leadership team and coordinate appropriately

 with staff.

  • Responsible for keeping records, faxing, scanning, uploading documents
  • Develop and maintain databases as needed
  • Receive and/or return telephone calls related to specific program functions as needed
  • Check email and voicemail messages during work hours
  • Connect participants to INSET team
  • Receive referrals and report to INSET leadership team
  • Assist in the use of EHR and other health records
  • Other duties as assigned

Responsibilities include assisting with interviewing, hiring and training employees, planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

COMPLEXITY OF WORK AND DECISION MAKING:

Works in accordance with policies and regulations which may require judgment, initiative, creativity and the ability to deal with complex factors and making of decisions based on conclusions for which there may be little precedent.

AUTONOMY AND ACCOUNTABILITY:

Works from general objectives (such as governmental and agency compliance standards) and broad and varying policies, procedures, rules or precedents with significant functional guidance. Refers specific cases to Chief Operating Officer and/or Chief Executive Officer for clarification or interpretation. Review by supervisor focuses on achievement of the objective and not necessarily on the means, except when required to ensure compliance with regulations.

TECHNOLOGY, EQUIPMENT OR TOOLS:

Microsoft Office skills including Excel, Word, Power Point, Teams, Outlook.  Evidence of skills demonstrated by the ability to perform all the basic functions within each program; including but not limited to maintaining a calendar, sending e-mail, creating letters, creating presentations for training or marketing, as well as the ability to create and edit workbooks. General office equipment is used including fax machine, computer and phone system.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit while using hands and eyes to drive from office to office, over (100) one hundred miles per day, as well as in using a computer or other technologies. The employee frequently is required to see, talk and hear.  The employee is occasionally required to stand, walk, climb stairs and reach with hands and arms. The employee may need to lift and/or move up to (35) thirty-five pounds. The noise level in the work environment is usually light.

EDUCATION & EXPERIENCE:

  • Master’s degree from an accredited university or college in Human Services or related field and (5) five years of experience providing mental health services and a minimum of (3) three years of supervisory.  

OR

  • A Bachelor’s Degree in Human Services, or related field accompanied by a minimum of (7) seven years of experience providing mental health services and (5) five years of supervisory experience.

OR

  • An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
  • Completion of a peer advocacy training program or related certification is preferred.  Academy of Peer Services Certification must be completed within the employees first 3 months in this position if the employee is not currently certified.
  • Must have a valid Class D Driver License, reliable transportation and automobile insurance. 
  • Must have had active participation in mental health self-help activities, peer support or peer advocacy programs or recipient-run organizations or similar experiences or programs. 

KNOWLEDGE, SKILLS & ABILITIES:

  • General knowledge of recipient benefits, governmental processes, consumer rights case management, operations of the agency and effective advocacy skills.
  • Knowledge of organization and operations of administrative programs.
  • Ability to develop long-term plans and programs and evaluate success.
  • Ability to apply and adapt practices and techniques to the special requirements of the special requirements of the program and senior staff.
  • Ability to interact with individuals and general public at all levels of the organization; communicating with respect and clarity.
  • Ability to present facts and recommendations effectively in verbal and written format.
  • Knowledge of supervision of staff with problem solving skills and a strong emphasis on team building.
  • Able to work in multiple counties and be flexible in dealing with different county expectations, regulations and requirements.
  • Ability to maintain an office with the use of cell phone/tablet and laptop.
